How it Works

We strive to make the process as simple and streamlined as possible so you can focus on making your event productive, impactful, and fun!  Here is what to expect once you make your reservation at Cliqk Studios.  

WELCOME MESSAGE

After booking, you will receive a welcome email with a confirmation of your event details and links to our FAQs and information about our spaces.

SPACE SETUP

You will be asked to select a desired space setup when your reservation is confirmed.  Otherwise, the standard event setup for your selected space(s) will be selected by default and delivered to you upon arrival.  You can view the details for the different space setups on our website {here}. If you selected ‘Custom Setup’ during your reservation, we will be reaching out to you separately to confirm your needs and requirements.

CUSTOM SETUP

If you selected ‘Custom Setup’ you will receive a custom setup questionnaire that you can complete to describe your specific needs and requirements.  We will follow up with a custom floorplan for your event and update your Event Details page with the Custom Setup information.

DELIVERIES / STORAGE / VENDOR PICK-UPS

As our venue is not staffed, it is not possible to ship items in advance of your event.  If you need to ship items prior, please reach out to determine if deliveries can be accomodated, and those items stored in advance of your event.  PLEASE DO NOT SHIP ANY ITEMS WITHOUT CONTACTING US IN ADVANCE.

Please note that all items and rentals must be removed from the space by the end of your reservation.  We are unable to store items after your event end time. If you need to arrange additional reserved time to coordinate pick-up of items, please let us know.  This will be billed as additional time.

CATERING

You are welcome to arrange with the vendor of your choice. We have several caterers with whom we frequently work, please refer to our Catering Information list {here} for contacts. We frequently refer our guests to our downstairs neighbor, Maman.  With their proximity and familiarity with our spaces, they are a great choice. You can take a look at their menus (Petit Maman or standard menu). For good GF and vegetarian options, Smile to Go is a good choice. We can provide cases of bottled water (24) for $30+tax.

Please note that you will need to arrange for catering delivery and pick-up during your reservation window.  Deliveries and pickups are not allowed before or after your reservation. If you need additional time or arrangement for our staff to receive your items, please contact us in advance to confirm we can accommodate your request.

STAFFING

Our venue is not staffed. After Guest Check-in, you will be left alone in the space for your event.  If you are interested in staffing services, we have several options available. You can learn more on our website {here}. Please contact us to add these to your reservation.

INSURANCE

Following your reservation, we will need to receive an insurance certificate, a COI from your company including Cliqk Studios as additionally insured.  If you are hosting a personal event, we will need you to take out a one-day event insurance policy from https://www.theeventhelper.com/ listing us as additionally insured.  Please include the following information on the policy:

PLANNING VISITS

If you are interested in scheduling a planning visit after making your reservation, we will do our best to accommodate you based on our space availability.  Please email us at events@cliqk.com  to schedule your planning visit.  Please note that each guest will be granted one complimentary 30 minute visit to review the space in person.  Please contact us if you need more time or require additional visits. These will be billed separately at $295/hr.

DIGITAL SIGNAGE & DOOR SIGN

We encourage all guests to take advantage of our in-house digital signage system that includes multiple screens that are available to brand with your company or event logos or videos.  Please send these files to events@cliqk.com at least 3 days in advance of your event so we may load & test. We'll also want to hang a sign on the door to denote your reserved space.  Please let us know what the sign should read if different than your provided logo/graphics. IF WE DO NOT RECEIVE YOUR FILES 3 DAYS IN ADVANCE, WE WILL BE UNABLE TO LOAD THESE ONTO OUR SYSTEM FOR YOUR EVENT. 

MUSIC PLAYLIST

If you are interested in using your own music playlist for your event, please create and share a Spotify playlist with us.  We will pre-load for you and have ready to play when you arrive in the space. Please send us a link to your Spotify playlist at least 3 days prior to your event start date in order to take advantage of this service.  Otherwise, we have several playlists from which you can choose or streaming services to browse on our Sonos Music system during your event. IF WE DO NOT RECEIVE YOUR SPOTIFY PLAYLIST LINK AT LEAST 3 DAYS IN ADVANCE, WE WILL BE UNABLE TO LOAD THESE ONTO OUR SYSTEM FOR YOUR EVENT. 

ACCESS CODES

We will send access codes to enter the building and the space at least 1 hour before your event start.  These codes change daily so we are unable to send these out earlier for your guests and team members.


EARLY ACCESS

The start time of your reservation is when you are able to enter the space.  If you require a little extra time, please let us know and we will do our best to accommodate you and provide 30 minutes of complimentary set-up time before your event.

GUEST CHECK-IN

Our Studio Manager will greet you on-site at the time of your reservation and provide a brief space orientation and familiarization with our technical amenities (help with connecting one laptop to displays). We will be available by email/phone/text should the need arise. 

GUEST CHECK-OUT / DEPARTURE CHECKLIST / 

Guests are required to complete our ‘Departure Checklist’ before the end time of the reservation.  You can also view details {here} on our website. Generally speaking this includes bringing the space back to the condition found upon arrival, bagging up garbage and recycling in our provided trash/recycling bags, removing any/all items brought into the space, and making sure the room is locked when leaving.  If you are interested in having us perform the cleaning and departure checklist requirements for you, you can select or add ‘Enhanced Cleaning’ services for your reservation and an additional charge will be added to your reservation.

OVERTIME

We will send you a reminder email and text message approximately 2 hours prior to your reservation end time.  If you need more time for your reservation, please contact us at least 2 hours prior to your reservation end time and we will be happy to extend your reservation at our normal hourly rates, if available.  OTHERWISE, ANY TIME AFTER YOUR RESERVATION WILL BE BILLED AT OVERTIME RATES WHICH ARE 1.5X OUR STANDARD HOURLY RATES.
